Position Overview

As an Administrative Assistant, Warehouse, you will provide administrative support for the Warehouse Manager. You will help organize and distribute work, troubleshoot and assist with issues that arise, answer phones, return calls, and make general warehouse announcements. In this role, you will be cross trained in other jobs within the department, and may be asked to open the warehouse.

Responsibilities

This role has high visibility with the business and will support the candidate interview process in scheduling, candidate experience. Work with Operations and Recruiting/Human Resources as a Liaison. This position will report to the Talent Acquisition Manager with a dotted line to General Managers.

  • Schedule phone interviews for recruiting team.

  • “Feet on the Street” go out and put up signs, flyers, etc.

  • Coordinate on-site interviews, including coordinating with the T/A team on events.

  • Communicate with candidates throughout the interview process

  • Work directly with General Managers/ Talent Acquisition/Training Managers

  • Attend all meetings with Operations/Talent Acquisition.

  • Work with current employees on a referral program

  • Update our Applicant Tracking System (ATS) to track compliance

  • Multitask in a fast-paced environment, where changing business needs dictate a continuous change in priorities

  • Attend career events, onsite job fairs

  • Work with Talent Acquisition Manager on staffing needs.

  • Demonstrate exceptional organization skills

Qualifications

  • High school diploma or equivalent; or one to three months related experience and/or training; or equivalent combination of education and experience

  • Proficient with Microsoft Office

  • Able to prioritize assignments & work independently; use time efficiently; plan for additional resources; complete objectives under minimal supervision

  • Able to maintain confidentiality; listen to others without interrupting; keep emotions under control

  • Strong verbal, written, and listening communication skills

  • Good attention to detail; able to read and interpret written information

  • Team player – able to balance team and individual responsibilities; give and welcome feedback

  • Professional demeanor; approach others in a tactful manner; accept responsibility for own actions; follow through on commitments

  • Observe safety and security procedures; report potentially unsafe conditions.

  • Math skills; able to add, subtract, multiply and divide.

  • Computer experience with database software; Human Resource systems; Payroll systems; Microsoft Office, including Excel and Word; other spreadsheet and word processing software

  • Authorization to work in the United States or the ability to obtain the same
